Job SummaryTuskegee University seeks a proactive, organized, and service-minded professional to serve as Development Assistant in the Division of Development and Alumni Engagement. Reporting to the Development Associate, the Development Assistant serves as the first point of contact for the division and provides essential administrative, donor relations, and operational support to advance the university's fundraising and engagement efforts.
This role supports the Vice President's office, assists with digital engagement processes in collaboration with the Manager of Donor Data and Digital Engagement, and ensures timely and accurate donor correspondence. The position is ideal for an early-career professional with an interest in fundraising operations, donor stewardship, and higher education advancement.
Essential Job DutiesReception and Office Coordination- Serve as the primary receptionist for the Division of Development and Alumni Engagement, greeting visitors, answering phones, and managing general inquiries.
- Maintain an organized, welcoming office environment and support meeting room readiness.
- Assist with scheduling and administrative support for meetings involving the Vice President and senior staff.
Donor Mail, Acknowledgment, and Correspondence- Open and process incoming mail daily, ensuring timely distribution to appropriate staff.
- Prepare and print donor acknowledgment letters and gift receipts for signature by the Vice President or designee.
- Draft routine donor correspondence and manage follow-up mailings in collaboration with the Donor Services team.
- Track outgoing donor communications to ensure consistency, accuracy, and timely delivery.
Data and Engagement Support- Assist with basic data entry and record updates in Raiser's Edge NXT, including address changes, engagement touchpoints, and event RSVPs.
- Support the Manager of Donor Data and Digital Engagement with email distributions, list management, and digital communications.
- Participate in quality checks of donor records and ensure digital files are maintained accurately.
Administrative and Programmatic Support- Coordinate supply orders, manage office mail logs, and assist with calendar management for the Vice President in collaboration with the Development Associate.
- Provide event support such as guest check-in, nametag preparation, and attendee tracking.
- Help prepare briefing documents and materials for donor meetings and advancement events.
Qualifications (Education, Experience and Specialized Training)- Associate's degree.
- 1-2 years of experience in office administration, customer service, nonprofit operations, or related roles.
Physical Demands- Ability to operate standard office equipment
- Ability to walk short distances
- Ability to lift and carry parcels, packages and other items
- Ability to view a computer terminal
Skills and AttributesKnowledge:
- Willingness to learn advancement systems such as Raiser's Edge NXT and Almbase
Skills:
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong organizational skills and ability to manage multiple tasks with accuracy and attention to detail
- Excellent interpersonal and written communication skills with a warm, professional demeanor.
Ability:
- Ability to maintain confidentiality and demonstrate sound judgment in handling donor-related information
